Plan limits explained

The differences between Free, Starter, and Pro come down to how many ad accounts you can sync, how far back your history reaches, and whether updates happen automatically.

Connected accounts

A “connected account” is any ad account you’ve toggled on for syncing across Google, Microsoft, and Meta. The limit is a total across all ad platforms — so on Starter you might pick 3 Google accounts, 1 Microsoft, and 1 Meta, or any other 5-account combination.

Going from 4 to 5 selected accounts is fine; trying to select a 6th on Starter triggers a soft limit message and the toggle won’t save until you upgrade or unselect another account.

History window

When you first connect a platform, Crowflow backfills the maximum history your plan allows. Free gets the most recent 30 days. Starter and Pro get up to 13 months (clamped to whatever your ad platform actually keeps — Google Ads currently retains campaign performance indefinitely, so 13 months is the practical cap).

Existing data in your database stays there even if you downgrade — we don’t delete what we’ve already pulled. But subsequent syncs use the new tier’s window.

Upgrading expands your backfill. If you upgrade from Free to Starter, your next sync will run as INITIAL again and pull the additional history you now have access to. No re-connect needed.

Daily auto-sync

On Starter and Pro, Crowflow syncs every connected account at 06:00 UTC and pushes any updated data to your destinations automatically. You get fresh numbers in your Sheet before your morning coffee — without doing anything.

On Free, the daily cron is off. You click Refresh now whenever you want updated data. This is intentional — Free is a trial-the-experience tier, not a way to get the daily benefit without paying.

Destinations

A destination is one Google Sheet + tab combo. Free and Starter each allow one destination, which is enough for most solo workflows. Pro unlocks multiple destinations — useful for freelancers who want a different Sheet per client, or in-house teams that want one summary Sheet and one detail Sheet.

Outgrowing your plan

When you hit a limit, Crowflow shows a clear message at the point you hit it (selecting a 6th account, creating a 2nd destination on Starter). Existing data and connections keep working — the limit only blocks new additions.

Upgrading is one click from /app/billing— your billing portal is wired directly to Stripe. New limits take effect immediately. We don’t pro-rate refunds for downgrades but you keep the higher tier until the period ends.
